Ukrainian Refugee Project Administrator

THE PROJECT

There are two strands to the NTDC Ukrainian Refugee Project.

Strand 1 aims to provide direct support to Ukrainian individuals and families living in North Tipperary. The support provided includes outreach community development work, engaging and supporting refugees to avail of agency supports, providing advice and guidance, accompany refugees for translation purposes, support with accommodation and community integration.

Strand 2 is a Community Car initiative. This Strand is aimed at supporting Ukrainian refugees who have been offered temporary accommodation in rural locations of North Tipperary under the “Offer a Home” appeal. This initiative will provide a dedicated transport service for these individuals and will aim to transport them from their rural location to nearby towns/villages where local services or local/national transport links can be accessed.

THE ROLE

To support the implementation of the NTDC Ukrainian Refugee Project by working as part of the small project team that includes Refugee Project Workers and Community Car Driver/s.

The Project Administrator will provide administration support to the Ukrainian Project Team. This includes:

  • Providing administration support to the Refugee Project Workers who work directly with Ukrainian individuals and families.
  • Providing administration support to the Community Car Driver/s and coordinating the administration of the Community car Serüice.

DUTIES

  • Providing administrative support in the roll out of the of the Ukrainian Support Project.
  • Providing administration support to the two Ukrainian Support Workers.
  • Being responsible for all phone, email, and verbal queries from users of the community car service and the Community Car Driver(s).
  • Co-ordinating and scheduling all community car bookings from users of the service and ensuring.
  • timely and efficient access to the service.
  • Maintaining detailed records of all community car journeys, users of the service, pick up and destination points.
  • Providing information for Community Car Driver(s) on any specific requirements of clients of the service and assisting them on related matters e.g., directions to location of clients.
  • Collating and maintaining appropriate records and programme data in relation to the Community Car Initiative-e.g., attendance data, referrals forms, registration details of individuals/families etc.
  • Collating and maintaining appropriate records and programme data in relation to the Ukrainian Refugee Support Project.
  • Where issues or errors arise; addressing, recording, and reporting to ensure a smooth running of the community car service.
  • Demonstrating respect, patience and clear communication when dealing with clients of the Ukrainian Refugee Project.
  • Understanding and maintaining confidentiality in respect of clients of the Ukrainian Refugee Project including any details relating to their use of the service.
  • Assisting in the promotion of the Ukrainian Refugee Project and particularly the Community Car Initiative to potential clients, other support agencies and the public.
  • Working with the line manager to ensure that the Ukrainian Refugee Project and particularly the community car service is being run efficiently.
  • Liaise with key staff within project partners organisations to support the implementation of both strands of the Ukrainian Project.

ESSENTIAL REQUIREMENTS

  • Fluent or good conversational skills in Ukrainian and English
  • Competent in the use of Microsoft Office 365 applications, particularly Word and Excel.
  • Attention to detail and good organisational skills.
  • Excellent communication skills.
  • Minimum 1 years’ experience as project administrator or working in an administration role.

DESIRABLE

  • Qualification at QQI Level 6 or higher in business administration or similar.
  • Fluent or good conversational skills in Russian.
  • Previous experience in public transport and/or taxi services. o Good geographical knowledge of North Tipperary.

TERMS OF EMPLOYMENT

One full-time position, working 37 hours per week (Monday to Friday).

This is a Specific Purpose Contract until the 31st of December 2023 and is subject to continued provision of the service and funding availability.

SALARY

The salary for this role is within a five-point scale, from €24,397 – €28,950, commensurate with experience and qualifications.

Community Car Driver

THE PROJECT

The Community Car initiative is one Strand of the Ukrainian Refugee Project. The Community Car Initiative is aimed at supporting Ukrainian refugees who have been offered temporary accommodation in rural locations of North Tipperary under the “Offer a Home” appeal. This initiative will provide a dedicated transport service for these individuals and will aim to transport them from their rural location to nearby towns/villages where local services or local/national transport links can be accessed.

DUTIES

The successful candidate will work as part of the NTDC Ukrainian Project Team and as a community car driver. The main role is to transport individuals/families from their home to their destination. Additional duties will include:

  • Working closely with the Project Administrator to ensure efficient service delivery.
  • Keeping detailed records of trips undertaken in respect of mileage, fuel usage etc,
  • Displaying respect, courtesy, and a caring/considerate approach to clients.
  • Ensuring confidentiality in respect of clients and nature of trips undertaken.
  • Assisting all clients safely into and out of the vehicle including assisting with the loading/unloading of luggage (within a reasonable distance/weight) — Manual Handling training will be provided by NTDC in this respect.
  • the rules of the road and any other Driving with due consideration for other road users and observing statutory requirements relating to vehicles leased by NTDC.
  • Driving with due consideration for the safety and comfort of all clients including ensuring that all passengers adhere to all regulations (seat belt wearing etc.).
  • If relevant to the vehicle, ensuring that wheelchair lifts, winches and belts are maintained in proper condition and promptly reporting any defect in this equipment to the Line Manager.
  • Maintaining the cleanliness of the vehicle daily, both internally and externally.
  • Carrying out daily vehicle maintenance checks on the vehicle before driving it and reporting on same to the Line Manager.
  • Ensuring all safety measures such as fire equipment and first aid boxes are fully operational and available on each vehicle and first kits are replenished, when applicable.
  • Partaking in all related training programmes organised or deemed necessary by NTDC.
  • Ensuring that his/her driving license is valid and is renewed as and when required and providing evidence of such to NTDC.
  • Reporting immediately any incident/accident involving the vehicle(s) or passengers to NTDC.
  • Reporting to NTDC immediately any penalty points or other endorsements on his/her license.
  • Assisting in the promotion of the Community Car Initiative to potential clients and the public.

  • Excellent customer service skills
  • Basic computer skills

TERMS OF EMPLOYMENT

One full-time position (working 37 hours per week) or two part-time positions (working 18.5 hours per week) are available. The availability of positions will be determined by demand for the service and will be at the sole discretion of North Tipperary Development Company. Due to the nature of the work, the position will require working unsocial hours i.e., evenings and weekends. This position is subject to Garda Vetting in line with North Tipperary Development Company’s policy.

Garda Vetting

Garda vetting will apply to the post. If the appointee has lived in any other country since s/he was 16years old, police clearance will be required from each country s/he has lived in for 6 months or more.
